Who is Ginger CEBTP?

Ginger CEBTP is a specification engineering company that specializes in soil investigation and analysis, building material characterisation tests and diagnostics of existing buildings and infrastructures. It operates for construction players such as local authorities, real estate promoters, companies or infrastructure managers.

Ginger CEBTP has nearly 1,200 employees worldwide, including 900 (engineers, technicians and administrative staff) working in a network of agencies throughout France. 

Challenges: Improve efficiency + Reflect brand identity

In 2015, Ginger CEBTP analyzed their proposals to see where they could improve. In those days, their proposals were created from old proposals with copy-pasted content and a charted frame that was often changed over time.

It took a lot of time to build a proposal on their complex businesses, and the final document wasn't up to the level of investment. Coralie Herrmann, who is Project Manager, Business Development Department at Ginger CEBTP,  explains:

“With the adoption of XaitProposal, our goal was threefold: save time for our employees, improve the efficiency of our proposals, and promote the Ginger CEBTP brand identity.”

Solution: XaitProposal for High Quality and Attractive Proposals 

What made Ginger CEBTP choose the XaitProposal software solution? The company launched the project at the end of 2016 and is today in a constructive partnership with Xait. “Their XaitProposal team is always responsive and attentive to our requests.”

In terms of the implementation, Ginger CEBTP began with the bid administrative response. Next, they rolled out the geotechnical engineering field, which is easier because it is based on a standard that specifies the order of the missions. 

“The Xait team accompanied us through all phases of the project: content workshops, testing, and roll-out,” says Herrmann. “In 2017, all our geotechnical engineers were trained by Xait, i.e., 300 employees. Xait then transferred their skills and accompanied us to ensure that we were able to carry out the content design and parameterization in-house.”

According to an internal survey, 87% of the teams at Ginger welcomed the project. Today, more than 400 people use the software. In two years, 46% of Ginger’s proposals have been issued via XaitProposal.

What does Herrmann and her team think of the solution?
Everyone in the Business Development Department agrees that XaitProposal is user-friendly:

“It’s a dynamic and intuitive solution to work on. The functionalities are well thought out. The solution meets all our requirements. It allows us to improve our attractivity, quality, and time.” 

Herrmann says that her team members like the idea of going through the questionnaire. “All you have to do is check the items you want to add to your offer, a kind of online shopping. It’s simple and efficient!”

Results

With XaitProposal, Ginger CEBTP has been able to save time, improve the quality of their proposals, and maintain brand identity at the same time. Their conversion rate for proposals to orders went up three points in two years too.

Struggling with layout and formatting is the biggest issue faced by proposal teams using desktop publishing software and copy-and-paste methods. For the Business Development Department, eliminating this challenge has been the biggest advantage of using XaitProposal:

“They appreciate the automatic layout and not having to worry about formatting anymore.”

A Better Capitalization of Information
Ginger CEBTP wanted to change their practices regarding information capitalization. Because they are a decentralized company, they needed a tool to share their best practices. XaitProposal has proven to be suitable for this purpose: it allows the Project Manager and her teams to centralize and share photos, techniques, and best writing practices.

Future Plans

When companies first implement XaitProposal, they usually use it within one department before expanding to other departments. The same is true for Ginger CEBTP. “We would like to deploy the XaitProposal software in other businesses within the Ginger Group.”
