In a survey published by IDC in 2012, it states information workers waste a significant amount of time each week dealing with the variety of challenges related to working with documents. This wasted time costs the organization more than $19,000 a year per information worker.
With such a time waste, it should be paramount for CIO’s and other executives to find smarter ways to work with documents. Even small changes in managing and producing documents could result in significant cost reductions, in addition to increased quality of the document itself.
Many companies have invested heavily in collaboration solutions for online meetings, document management solutions and filesharing solutions. However, none of these investments really address the core issue, which is creating, managing and collaborating on the same document while making it easier for both colleagues and management to contribute.
The survey from IDC shows us the one thing most information workers spend the most time on is creating documents. A typical process includes looking at previously created documents and copies content across or use templates that rarely contains the most recent approved content. This process provides challenges with finding the correct and approved content, ensuring everyone has access to the latest content and if you have used a template, you ensure no changes have been made to the master while creating the document. And, copying from other files will in many cases inadvertently lead to formatting issues.

A database driven document solution can easily solve these challenges. With a database driven document solution you can significantly reduce the time wasted by information workers. Solutions for document management, online collaboration and file sharing can provide significant improvements, but with documents reliant on files you still have the same limitation. Investing in these technologies, which is only a minor improvement to existing ways of working, does not address the core challenge highlighted by IDC.
